What we collect and who sees it
The short answer
Census files are uploaded through your signed-in Defined Benefits client portal account, using Shared Files. Defined Benefits uses the contact, business and employee information you provide to review your retirement plan inquiry and contact you about it. Remove Social Security numbers, account numbers, driver license numbers and medical information before uploading. This website does not automatically remove them from portal files.
Who receives what I send?
Defined Benefits LLC operates definedbenefits.com. Documents uploaded through the Defined Benefits client portal arrive in its GoHighLevel account, where Defined Benefits staff can review them. GoHighLevel provides the portal and customer-record system through the Clienttech environment.
Vercel hosts this website. Census files go through the client portal rather than the website’s form handler.
What information do I provide?
Your portal account identifies you by the details you use to register and sign in. You choose which documents to upload in Shared Files.
- Contact details: your name, email and phone, and your CPA’s name and email if you include them.
- Business details: business name, entity type, state, existing retirement plans and contributions, and the deduction you have in mind.
- Employee census: each person’s name, job title, date of birth, hours worked, hire date, wages, ownership percentage and relationship to an owner.
Only provide employee information you are authorized to share for a retirement plan proposal. You can read the website without uploading a census.
How is my information used?
We use the information you provide to review your retirement plan inquiry, discuss the business’s circumstances and contact you about the next steps. An enrolled actuary uses census information to prepare a plan illustration.
Where do my files go?
Sign in to the Defined Benefits client portal to use Shared Files. Your upload is stored in the GoHighLevel document system and appears in the Defined Benefits customer record. The website does not store a separate copy of the uploaded file.
The website and portal use HTTPS connections. Keep your portal sign-in details to yourself, and avoid including information beyond what is needed for the plan inquiry.
Where can I review my uploads?
Open Shared Files in your signed-in portal account to review the files you have uploaded. Check that the intended file appears there after each upload.
What about the five-question fit check?
The five-question fit check asks about your business without collecting employee names. Its answers are scored in your browser, or on the website server when JavaScript is off. They are not stored or sent to the client portal.
What changed in this policy?
October 27, 2026: census uploads now use the Defined Benefits client portal’s Shared Files flow. This notice describes that route and clarifies that website filtering does not apply to portal uploads.
